Personal data we collect

How we collect your data

We collect data directly from you when you complete a form on our website, telephone us, email us, or visit our office.

We may also receive data about you from third parties in limited circumstances: from property portals (Rightmove, Zoopla, OnTheMarket) where you make an enquiry via those platforms; from referencing agencies where we are conducting a tenancy reference with your consent; from solicitors and conveyancers in the context of a property transaction; and from anti-money laundering verification services.

Lawful bases for processing

We process your personal data on the following lawful bases under the UK GDPR and Data Protection Act 2018:

Contract: where processing is necessary to perform a contract with you or to take steps at your request before entering into a contract — for example, to progress your property sale, purchase, letting or management instruction.

Legitimate interests: where processing is necessary for our legitimate interests or those of a third party, provided those interests are not overridden by your rights and interests — for example, to maintain our client database, to analyse enquiry data, or to prevent fraud.

Consent: where you have given us explicit consent — for example, to send you property market updates or newsletters. You may withdraw consent at any time by contacting us.

Legal obligation: where processing is necessary to comply with a legal obligation — for example, anti-money laundering verification under the Money Laundering Regulations 2017.

How we use your data

We use your personal data to: respond to your enquiries and provide the services you have requested; conduct property transactions (sales, lettings, management) on your behalf; carry out anti-money laundering checks as required by law; conduct tenant and landlord referencing; send property particulars and match you to relevant properties on our database; communicate important updates about your property transaction; comply with our legal and regulatory obligations; and improve the quality of our services.

We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects.

Sharing your data

We share your personal data only where necessary and only with the following categories of recipient:

Property portals: Rightmove, Zoopla, OnTheMarket — your property particulars and contact details where submitted via those portals.

Professional service providers: solicitors, conveyancers, mortgage brokers and surveyors engaged in your property transaction.

Referencing agencies: specialist tenant and employer referencing providers where you have consented to a reference.

Anti-money laundering providers: identity verification services required under the Money Laundering Regulations 2017.

IT and cloud service providers: systems we use to manage our business, under appropriate data processing agreements.

We do not sell, rent or trade your personal data to any third party for marketing purposes.

International transfers

We do not routinely transfer your personal data outside the United Kingdom. Where any service provider stores or processes data outside the UK, we ensure that appropriate safeguards are in place in accordance with UK GDPR requirements — such as the UK's International Data Transfer Agreement (IDTA) or equivalent adequacy decisions.

How long we retain your data

We retain personal data only for as long as necessary for the purposes for which it was collected, taking into account legal and regulatory obligations.

Enquiry data: up to 2 years from the date of last contact, unless you have asked us to remove it sooner.

Sales transaction data: 7 years from the date of completion, in accordance with anti-money laundering requirements.

Tenancy data: the duration of the tenancy plus 7 years from the end of the tenancy, in accordance with statutory requirements.

Financial and anti-money laundering records: 5 years from the end of the business relationship.

Website analytics data: 13 months from collection.

Your rights

Under the UK GDPR and Data Protection Act 2018, you have the following rights in relation to your personal data:

Right of access: you may request a copy of the personal data we hold about you.

Right to rectification: you may ask us to correct any inaccurate or incomplete data.

Right to erasure: you may request that we delete your personal data in certain circumstances.

Right to restriction: you may ask us to restrict the processing of your data in certain circumstances.

Right to data portability: where we process your data by automated means on the basis of your consent or a contract, you may request that we provide it in a structured, machine-readable format.

Right to object: you may object to processing carried out on the basis of our legitimate interests, including for direct marketing purposes.

Right to withdraw consent: where we process your data on the basis of consent, you may withdraw that consent at any time without affecting the lawfulness of processing before withdrawal.
